Folders: High-Level Categories

Folders help you organize your tasks at a high level, separating different areas of focus within your research work and personal life.

Suggested Folders:

  1. Personal: For non-work-related activities or commitments

  2. Research Projects: Main ongoing research work

  3. Publications: Tasks related to writing, editing, and submitting papers

  4. Professional Development: For learning opportunities, certifications, and academic growth

Folders are expandable or collapsible giving you a streamlined view of your Akiflow sidebar.


Projects: Mid-Level Organization

Use Projects to focus on specific areas of your professional and personal life. Projects make tasks actionable and trackable.

Suggested Projects:

Assign tasks to specific projects for clear segmentation. Projects can be color-coded and can have different emojis for visual organization.


Sections: Structure Your Workflows

Break projects into phases, categories, or stages using sections to make workflows more manageable.

Suggested Sections:

Sections can help declutter your task list, making it easier to focus on specific stages or categories within your Project. They are also useful for workflows like Kanban or when breaking down projects into steps.


Tags: Add Context Across Tasks

Tags add flexibility and allow you to categorize tasks across projects for quick filtering and prioritization.

Suggested Tags:

  • To Read: Articles, journals, or reports to review

  • To Analyze: Data sets or results that need interpretation

  • To Review: Papers, proposals, or submissions needing revision or review

You can add multiple tags to a single task for cross-referencing and clarity (i.e. a tasked tagged both as To Draft and Write-Ups). You can also filter asks by tags to quickly find related items.


Best Practices

  1. Integrate and automate where possible: Sync Akiflow with platforms like Notion to seamlessly pull in tasks and schedules and keep your workflow centralized in one place

  2. Keep it simple: Use folders, projects, and sections to create structure but keep tags simple and consistent

  3. Review regularly: Use daily and weekly Rituals to revisit folders, projects, and tags and ensure that you stay aligned with your priorities and deadlines
