Folders: High-Level Categories
Think of folders as the domains or areas of your life or work. They group related projects, helping you stay organized at the macro level.
Suggested Folders
Personal: Separate non-work items to keep track of what’s going on in your personal life and to maintain balance
Work: Group all professional tasks
Departments: Create folders for areas like Marketing, Finance, Operations, etc., if you oversee multiple functions.
Folders are expandable or collapsible giving you a streamlined view of your Akiflow sidebar.
Projects: Mid-Level Organization
Within each folder, use Projects to focus on specific initiatives or goals. Projects ensure that the tasks involved in the different areas of your life remain actionable and progress is trackable.

Sections: Actionable Grouping
Break Projects into phases, stages, categories, or workflows using sections. These help you focus on what’s most relevant within a Project.
Suggested Sections:
Sections can help declutter your task list, making it easier to focus on specific stages or categories within your Project. They are also useful for workflows like Kanban or when breaking down projects into steps.
Tags: Context and Prioritization
Tags add a flexible, cross-cutting layer of organization. Use Tags to track task status, context, or responsibility, independent of folders or projects.
Suggested Tags:
To Book: Tasks that require reservations
To Buy: Supplies or tools needed
To Watch/Read: Tutorials, videos, or guides
To Delegate: Tasks you plan to assign
Delegated: Tasks already assigned, track progress here
To Discuss: Items to address in meetings or 1:1s
Waiting For/Follow Up: Tasks that have external dependencies or where you’re waiting for a response from others
You can add multiple tags to a single task for cross-referencing and clarity (i.e. a task tagged both as To Delegate and Marketing). You can also filter tasks by tags to quickly find related items.
Best Practices
Keep it simple: Use folders, projects, and sections to create structure but keep tags simple and consistent.
Review regularly: Use daily and weekly Rituals to revisit folders, projects, and tags and ensure that you stay aligned with your priorities.
