Folders: High-Level Categories
Think of folders as the overarching categories that group related projects, helping you organize at the macro level.
Suggested Folders:
Personal: Non-work-related tasks to maintain a balanced life
Work: Group all tasks related to your job
Folders are expandable or collapsible giving you a streamlined view of your Akiflow sidebar.
Projects: Organize Your Design Work
Use Projects to focus on specific areas of your design workflow. Projects keep your work actionable and trackable.
Suggested Projects:
Assign tasks to specific projects for clear segmentation. Projects can be color-coded and can have different emojis for visual organization.
Sections: Structure Your Creative Workflow
Break projects into stages, categories, or workflows using sections to maintain clarity and momentum.
Suggested Sections:
Sections can help declutter your task list, making it easier to focus on specific stages or categories within your Project. They are also useful for workflows like Kanban or when breaking down projects into steps.
Tags: Add Context Across Tasks
Tags add flexibility by categorizing tasks across projects and helping you track their progress or purpose.
Suggested Tags:
Research: Tasks involving gathering inspiration, trends, or competitive analysis
WIP: Mark tasks that are actively being worked on
In Review: Use this tag for tasks awaiting feedback from clients or team members
You can add multiple tags to a single task for cross-referencing and clarity (i.e. a tasked tagged both as WIP and Client Feedback). You can also filter asks by tags to quickly find related items.
Best Practices
Integrate and automate where possible: Sync Akiflow with platforms like Jira or Linear to seamlessly pull in tasks assigned to you and keep your workflow centralized in one place
Keep it simple: Use folders, projects, and sections to create structure but keep tags simple and consistent
Review regularly: Use daily and weekly Rituals to revisit folders, projects, and tags and ensure that you stay aligned with your priorities (or to track and continue building your portfolio)
