Akiflow’s Folders, Projects, Sections, and Tags provide the flexibility needed to balance client work and personal life while ensuring nothing slips through the cracks.
Folders: Organize at the Macro Level
Think of Folders as the primary areas of your work and life. They help you group related projects for a high-level view of your responsibilities.
Suggested Folders:
Personal: Life outside of work to ensure balance and self-care
Clients: Dedicated space to track client-specific projects
Admin: Internal business tasks like invoicing, taxes, and contracts
Folders are expandable or collapsible giving you a streamlined view of your Akiflow sidebar.
Projects: Segment Your Workflow
Within each folder, use Projects to segment your workflow, or to focus on specific clients or initiatives. Projects ensure that the tasks involved in the different areas of your life remain actionable and progress is trackable.
Suggested Projects:
Assign tasks to specific projects for clear segmentation. Projects can be color-coded and can have different emojis for visual organization.
Sections: Add Structure to Projects
Break each project into phases, deliverables, or workflows using Sections.
Suggested Sections:
Sections can help declutter your task list, making it easier to focus on specific stages or categories within your Project. They are also useful for workflows like Kanban or when breaking down projects into steps.
Tags: Add Context and Flexibility
Tags allow you to add context and manage tasks across projects and folders.
Suggested Tags:
To Buy: Supplies or tools needed for work or personal projects
Waiting For: Tasks that rely on client feedback or external dependencies
In Approval: Submitted work awaiting client review
Follow Up: Items requiring a nudge or reminder
You can add multiple tags to a single task for cross-referencing and clarity (i.e. a tasked tagged both as Follow Up and Client A). You can also filter asks by tags to quickly find related items.
Best Practices
Integrate and automate where possible: Sync Akiflow with platforms like Asana or Trello to streamline task and project management across clients
Keep it simple: Use folders, projects, and sections to create structure but keep tags simple and consistent
Review regularly: Use daily and weekly Rituals to revisit folders, projects, and tags and ensure that you stay aligned with your priorities (or to track and continue building your portfolio)
