Hide/Archive a project

Hi Rebecca, for now you can hide them from your menu using the eye button :)

+10000 for a full archive/close capability vs. hiding. I don't want to delete projects for historical reasons but would like to signal its done and it no longer be used to classify new tasks.

Sheldon Thomas: Totally agree — thanks for the upvote! A proper archive/close option would be super useful.

I would like to archive a project rather than delete it, so that I can review a project that I may have to do in the future. With Asana for instance, I would often make a project as a template, specifically for a sequence of recurring tasks that needed to be followed in a order and repeated.
Setting up a speaking engagement for instance could have 30 steps which need to be followed each time and yet they are event based so there will be many difference instances of that project. I don't want to delete those when they are done, I want to archive them.
Furthermore, when I use global search I want to see active tasks float to the top, completed tasks as secondary and then archived as 3rd.
You may say, why not just use Asana to do that and sync it to Akiflow? Because I've ditched Asana in favor of Akiflow :-)

Cameron Chinatti: Thanks for sharing this—great point! Archiving projects instead of deleting them makes a lot of sense for workflows like yours. It's definitely an idea we'll look into for the future!

Here is a little something I wrote 🙏
Problem Statement
Currently, Akiflow lacks an “Archive Project” feature, making it difficult to manage long-term projects efficiently. Over time, I accumulate many projects, but only a few are relevant at a given moment. Without an archive function, my workspace becomes cluttered, and the AI incorrectly assigns tasks to inactive projects.
To work around this, I’ve created an “Archive” folder, but this isn’t effective because:
1. AI Relevance Issues – The AI continues to suggest old projects for task categorization, leading to incorrect tagging and extra manual work.
2. Task Retention Needs – I don’t want to mark all tasks as completed since I may need to revisit them in the future.
3. Clutter & Focus – The project selection list remains overwhelming, making it harder to assign tasks efficiently.
Proposed Solution
Introduce an “Archive Project” feature that allows users to store inactive projects without deleting or completing tasks. The feature should:
• Remove archived projects from the active project list when selecting a project for a task.
• Hide archived project tasks from all task views unless explicitly accessed.
• Remove archived projects and tasks from search results to improve navigation.
• Exclude archived projects from AI task tagging, preventing incorrect assignments.
• Preserve all tasks inside the project without marking them as completed or deleted.
• Allow seamless reactivation, restoring projects when needed.
User Benefits
• Declutters the project list, making it easier to focus on active work.
• Improves AI accuracy by ensuring only relevant projects are suggested for tasks.
• Enhances long-term productivity, allowing users to revisit projects without losing historical context.
• Creates an intuitive workflow, aligning with how users manage projects in other productivity tools.
Implementation Considerations
• Archived projects could be stored in an “Archived” section within settings.
• The feature should be fully reversible, allowing users to unarchive projects anytime.
• AI should exclude archived projects from task assignment recommendations.
This feature would significantly improve workspace organization, AI relevance, and long-term project management in Akiflow.

Itai Handler: Thank you for sharing this detailed write-up! Your insights on the challenges of managing long-term projects and the need for an "Archive Project" feature make a lot of sense. The outlined solution and benefits highlight how this could enhance organization, reduce clutter, and improve AI accuracy. We'll keep you updated on any progress regarding this!

Hey Stefania,
I didn't know this was a possible. It's does the job cosmetically, allowing me to keep my space clean when projects are no longer required. However I like the semantics of archiving or dropping a project. It signals "it's not no longer relevant, but if it ever is it's available somewhere". It also allows me to explicitly identify projects which I intended to do but either didn't complete or never started.
Another thing - hidden projects still appear in searches. So it's a good intermediate solution but not what I'm after.

Hawkar Mahmod: Thanks for explaining!:)

I think completing a project is only one reason to want to archive a project. Sometimes you don't want to do it anymore, or at the moment (perhaps Someday Later for this), and just don't want it to exist in your working area.
Stefania
Hawkar Mahmod: Thanks for your message! What do you think about the current way to hide completed/archived projects? I shared it here in this thread.
Stefania
Hi Alexandra, you can hide your completed projects using this icon that allows you to customize your menu. What do you think?

Add ability to complete or archive projects
I'm not sure what to do with projects that I've finished with. At the moment the only available option is to delete them - but I want to retain the history.

Stefania I do not see the eye as it is in the screenshot, but right clicking on "Projects" brought up an "edit views" option, which added the eye symbol on each project and I could hide them from there. Very helpful feature, thanks! (Before I found this option I deleted a completed project: what happens to the tasks in that project: are they also deleted?) I would also like to second folks' comments that it would be satisfying to be able to explicitly complete a project, in addition to this hiding feature which could still be useful for pausing a not relevant project or streamlining/prioritizing the project view.

Marissa Deitz: Hi Marissa! When you delete a project, it only removes the project itself but leaves the tasks assigned to it intact. If you choose to delete a project, you'll be given two options: either mark all the tasks under that project as complete or delete the project while keeping the tasks unchanged.
